List which services can enter the workflow, where availability comes from, and which requests must go directly to the team.
Capture only necessary information
Ask for the minimum details required to identify the customer, service, preferred time, and any operational constraint.

The customer should receive a clear date, time, location or channel, and a simple way to confirm or request a change.
Design reminders around action
A reminder should tell the customer what is booked and what to do if the appointment no longer works. Use the appropriate approved template when required.
Route exceptions with context
Unavailable times, repeated changes, special requirements, and sensitive cases should reach a person with the previous messages and booking state attached.
